EXECUTIVE ASSISTANT

Sandlewood Manor and Chateau Nouvelle are seeking a highly organized, proactive, and professional Executive Assistant to provide administrative, personal, and operational support across multiple businesses and projects. This role is essential to maintaining efficiency, solving problems, and helping leadership stay focused on high-level priorities.

 

JOB DESCRIPTION:

The Executive Assistant serves as a trusted right hand to ownership, managing schedules, communications, projects, and day-to-day needs with professionalism and discretion. This position requires exceptional organization, adaptability, resourcefulness, and the ability to confidently handle both strategic and routine tasks in a fast-paced environment.

 

RESPONSIBILITIES:

  • Manage calendars, schedules, appointments, and travel arrangements.

  • Oversee inbox management and communication filtering.

  • Track expenses, assist with light bookkeeping, and maintain organized records.

  • Manage to-do lists, deadlines, and follow-ups across multiple projects.

  • Run errands, coordinate shopping, returns, and pickups as needed.

  • Coordinate home maintenance, service providers, and household staff.

  • Manage grocery and household inventory needs.

  • Assist with children’s scheduling and transportation logistics.

  • Support venue operations and assist with business needs as required.

  • Manage small projects from start to finish with minimal oversight.

  • Build and improve standard operating procedures (SOPs).

  • Research, implement, and monitor systems to improve efficiency across businesses.

  • Source vendors, negotiate pricing, and manage vendor relationships.

  • Assist with creative projects including décor sourcing, design research, and inspiration boards.

  • Coordinate ordering, tracking, and delivery of furnishings, décor, fixtures, and finishes.

  • Handle last-minute challenges with professionalism and problem-solving skills.

  • Take initiative and ownership without waiting for direction.

 

REQUIREMENTS:

  • High level of trustworthiness, discretion, and confidentiality.

  • Strong organizational and time management skills.

  • Excellent communication and interpersonal skills.

  • Ability to multitask and shift priorities quickly.

  • Resourceful, proactive, and solution-oriented mindset.

  • Professional, polished, and dependable demeanor.

  • Comfortable handling both high-level projects and everyday tasks.

  • Business-minded with an understanding of cost, efficiency, and ROI.

  • Self-starter who anticipates needs and follows through.

  • Prior experience in executive support, operations, project management, or similar role preferred.
